Sunnyside Community Services (SCS) is a multi-service, community-based organization providing a broad range of services to approximately 16,000 people of each year. Our services include pre-kindergarten and after-school programs; college prep and career programs for teens and young adults; supports for immigrants; a vibrant senior center, dedicated home care services, support and assistance for family caregivers, and social adult day program for people with cognitive and physical impairments.

Overall responsibilities:

The Youth Staff HR Specialist provides administrative, clerical and technical support to the Human Resources Department. The primary function of this position is to support on-boarding process after recruitment including, compliance, placement, retention, training, and exit/off-boarding administrative process. The YS HR Specialist works with the HR Management staff to ensure a coordinated and timely hiring process from job posting through on-boarding. SCS has over 100 youth workers at any given time and over 20 FT youth leadership staff.

Essential Job Functions

HIRING/ON-BOARDING

1. Coordinates Hiring/On-Boarding Process with Youth programs and Human Resources.

2. Recruit new youth development workers. Responsibilities include placing ads, researching, and making community contacts for recruitment, and helping to organize recruitment events and going to events to find viable candidates for youth positions

3. Prepares new hire paperwork for hiring

4. Meets with youth directors bi-monthly to assess hiring needs, especially during the summer and fall months.

5. Welcomes new employees to the organization by conducting orientation.

6. Conduct monthly onboarding orientation for all incoming new youth staff.

DATA MANAGEMENT

7. Maintains employee information by entering and updating employment and status-change data in Salesforce.

8. Sort and scan files to File Bound for digital and universal access.

9. Data entry and generation of reports, including monthly hire reports.

10. Submits employee data reports by assembling, preparing, and analyzing data.

COMPLIANCE SUPPORT

11. Follow up with CCU to obtain clearance as needed to ensure timeliness.

12. Provide support with collecting COVID-19 related vaccination documents and information, including recording and maintaining COVID-19 positive test cases, in consultation with HR Manager or Director.

TRAINING SUPPORT

13. Conduct training on HR related subjects such as progressive discipline procedures, incident reporting, as needed in conjunction with the HR Manager.

14. Review incident reports and help directors to identify missing language or information needed; and send reports to appropriate carriers, as applicable.

15. Assist with any interviews needed for incident investigations or following up on staff complaints in consultation with HR Director/Manager.

16. Support the HR Director/Manager in assisting directors with progressive disciplinary plans and give guidance on items needed for proper documentation of disciplinary incidents.

ADMINISTRATIVE SUPPORT

17. Maintains employee confidence and protects operations by keeping human resource information confidential.

18. Attend any youth related training or information session by funders or regulatory agencies that pertain to hiring requirements.

19. Compiles and completes employee/HR data needed for government reports.

Qualifications

High school graduate or equivalent; Associate Degree in HR or related field preferred, but not required.

One year of recruitment experience.

Experience hiring youth workers, a plus.

Strong administrative, scheduling, reporting, and file management skills.

Strong organizational skills and excellent time management.

Experience in on-boarding and orienting new employees.

Excellent written and verbal communication skills.
