Position Summary: We have an exciting opportunity to join our team as a Medical Office Assistant. In this role, the successful candidate is responsible for assisting in the operation of the practice including answering telephones, greeting patients, scheduling appointments, Hospital admissions and surgery.

  • Secures appropriate signatures and forwards documents to appropriate destination. Maintains a copy for files. Prepares and maintains patient files appropriately.
  • Processes incoming and outgoing documents. Completes each form neatly and accurately. Initiates follow-up needed in order to expedite or track progress in completion.
  • Takes messages accurately and completely. Gives correct information or material to patients or visitors as needed or requested. Schedules ancillary testing.
  • Attends to telephones and visitors promptly. Directs telephone calls and visitors to correct area or individual based on content of inquiry.
  • Properly inputs all billing and patient demographic information into computerized billing system.
  • Confirms the insurance coverage for all patients and referral on file (where applicable) the day before the start of the physicians office hours.
  • Schedules patients for surgery; entails obtaining all necessary information from patient, including but not limited to submission of referrals, pre-authorizations, insurance co-payments as well as patient demographic information and physician, coordination with OR booking, obtaining appropriate consent forms from patient, etc.
  • Greets and screens visitors and telephone calls in a pleasant and courteous manner; identifies themselves and Office when answering the telephone.
  • Performs Reception activities which may include addressing inquiries, assisting staff, patients or general public and answering telephones.
