Job Description

Due to on-going growth within our corporate sector, a permanent and full-time opportunity has become available upon one of our client sites in Macquarie Park.

Reporting into the Facilities Manager, this role will provide support to not only the FM but to the wider facilities team and reception desk. They will act as a point of contact for any subcontractors/guest on site and will assist with the upkeep and booking of all meeting and training rooms.

Other duties will include but won't be limited to:

  • Collate supporting documentation for the PO & billing process
  • Answer the telephone and address enquiries
  • Administration filing such as WIP folders
  • Issue weekly and monthly reports on compliancy
  • To complete all work documentation accurately and on time
  • Approval and submissions to payroll for processing
  • To assign all planned preventative maintenance
  • To administer all helpdesk calls in line with site specificSLA's
  • To sign off reactive and planned maintenance tasks once complete
  • To escalate and chase outstanding jobs
  • To run service desk reports
  • To oversee items produced in Maximo, such as the quality of narrative and accuracy of information
  • To approve Purchase Invoices as soon as reasonably possible
  • To carry out daily walks aroundof all meeting rooms under supervision
  • Meeting room audio visual checks
  • Monthly & Quarterly EHS Inspections
  • Daily Safety Walks

Qualifications

To be successful in this role, you will have excellentverbal and written communication skills and a high attention to detail. Your time management is outstanding and you are well presented with a 'can do' attitude. You will also:

  • Be able to liaise with executives & senior management, and act with discretion and confidentiality at all times
  • Have strong commitment to providing excellent customer service
  • Have superior problem solving and decision-making abilities
  • Have intermediate Microsoft Excel, Word & PowerPoint skills
