Microsoft Business Applications Supervisor

Position Summary:Under direction of Information Systems management, the Supervisor is responsible for the oversight of a group of Analysts, including the projects assigned to the group. The Supervisor acts as a facilitator and supervises/coordinates activities for the group of Analysts.Microsoft Business Applications Support: Dynamics CRM, PowerVirtual Agents, Power automate (Flow), Omnichanel, 0365, Power Platform, PowerApps, Teams, Sharepoint

Qualifications and EducationBachelor’s degree in computer science or equivalent field ofstudy, or relevant equivalent work related education/experience required.Master’s degree preferred.

Experience Four to six years experience with local area networks,database management systems, min and microcomputers. Extensive experience inconducting problem analysis, feasibility studies, system design andimplementation. Special Skills/Qualifications Working knowledge of hospital operation preferred. Competencies

Coordinator Specific Requirements: Supervises multipleconcurrent projects of varying size and complexity, ensuring that all work isaccomplished efficiently and in accordance with project expectations. Meetsregularly with Analysts in the group being supervised, to facilitate projectsand assists when necessary. Keeps Information Systems management updated onproject progress and key issues, communicating significant developments and maintaininga no surprises mode. Responds to inquiries regarding status or details ofprojects. Consults with management to obtain guidance and final decisionapprovals on significant decisions. Ensures that other departments involved inprojects are communicated with effectively. Meets with user representatives toensure their requirements are reflected in each project’s scope. Monitorstracking systems and project management tools such as Magic and Project toensure that timelines are set and status updates are entered timely and withappropriate quality. Responsible for monitoring and facilitating all workorders and help desk calls for the departments covered in the coordinatorscope. Assists in the supervision and coordination of work being done by consultantsand vendors. Keeps records of meetings and work performed. Reviews internaldocumentation requirements for projects. Coordinates and participates in thecreation and maintenance of user guides, documentation, operating manuals andreference manuals. Presents documentation to management for review andapproval. Ensures that all documentation meets department standards and isproperly cataloged in the document management system. Assists in thedevelopment and management of budgets. Performs other duties as assigned.

Analyst Specific Requirements: Works with management staffand users to identify, analyze and prioritize needs and requirements. Designs,develops and implements solutions to meet same. Evaluates and prioritizesrequests for system enhancements and provides timetables for completion.Ensures all such requests are completed within established time frames.Interacts with end users to monitor systems utilization. Designs, develops andimplements system improvements as necessary to maintain maximum utilization.Performs hardware and software installation, validation, configuration andtroubleshooting. Conducts end user orientation and training for theunderstanding and operation of computer systems. Establishes and maintainscomplete and detailed system development and maintenance documentation. Createsand maintains user guides and documentation, operating manuals and referencemanuals. Maintains complete and detailed activity logs, including history ofend user interactions, needs assessments, modifications, troubleshooting, errorcorrections and upgrades. Acts as a liaison with computer vendors when requiredby management. Provides regular status reports to management. Provides on-callcoverage on a scheduled basis, in emergency situations and when requested byInformation Systems management. Remains abreast of current and emergingtechnologies in the field of information systems. Demonstrates positivebehaviors toward patients, families, physicians, and all co-workers. Respondsto customers of all age groups in a friendly, prompt, and caring manner whilemaintaining confidentiality. Promotes mutual respect and professionalism.Partners with team members to meet the needs of the customer. Participates inthe hospital’s performance improvement process to continuously improve thequality of patient care and service delivery. Complies with all department andinstitutional policies and procedures.

Lead Analyst Specific Responsibilities: Acts as the leadAnalyst for departments supported by more than one Analyst. Serves as theprimary contact person coordinating the activities of all Analysts supportingthat department. If the other Analysts also support additional departments, theLead Analyst is only responsible for those activities that are related to theLead Analyst’s department. Meets with Information Systems management to discussthe status of the departments covered in the Lead role. Is aware of the currentstatus of all work pending for the covered department. Attends all suchmeetings fully prepared and with appropriate meeting materials. Communicateseffectively with other Analysts in the Lead group. Communicates prioritychanges to Information Systems management, department management and otherAnalysts in the Lead group. Responsible for monitoring and facilitating allwork orders and help desk calls for the departments covered in the Lead role.This includes preparing documentation for meetings, status reports andresponding to individual requests. Acts as the primary liaison with the covereddepartment management and staff with respect to coordinating activities.Ensures that proper coverage for the departments is maintained. Communicateswith Information Systems management if work is not proceeding as expected.
