Title : Legal Assistant II Location : Virtual Location Virtual MN USA 55448 Duration : 6+ Months POSITION DESCRIPTION: This individual will be a member of the Corporate Shared Functions Legal Assistant teamthe group of legal assistants and other support personnel who provide administrative and other organizational-related support and service to the Corporate Shared Functions organization. This person will provide administrative support for shared functions attorneys in areas including but not limited to Litigation, including Intellectual Property Litigation, Investigations and New Business Models, Corporate Legal Regulatory, and Employment Law, and may also provide clerical and administrative support to the legal operations organization. The position requires a candidate who can perform complex and diverse administrative duties under moderate supervision. The individual in this role must be able to work in a dynamic environment, and must be experienced, organized, process-driven, an excellent communicator, and confident in his/her abilities. The job, which includes exposure to confidential business information, requires an experienced, organized, proactive individual who acts with considerable tact, diplomacy and judgment. The position will report to the Legal Administrative Manager. POSITION RESPONSIBILITIES: Perform various administrative duties including setting up, maintaining and closing files (electronic and paper); working in various Medtronic systems; making domestic and international travel arrangements; Internet/Intranet research; scheduling meetings; photocopying and scanning document; managing calendars; and preparing expense reports. Adhering to checklists and established best practices to maintain a high quality, high performance department. Checking and making minor adjustments to work methods to solve problems that are routine and typically exist in current work processes and systems. Maintain complex calendars and handle scheduling, including sophisticated use of video conferencing and WebEx tools Create presentations using PowerPoint and other presentation tools. Identify issues in correspondence, documents and telephone calls that require action and execute appropriate solution or refer to appropriate individual. Process invoices and check requests as needed. Interface with business clients, outside counsel and members of Medtronic executive management in a professional manner. Manage confidential information. Answer telephones for attorneys and paralegals (including rollover calls from the law department), take messages, transfer calls, and answer routine questions. All activities must be performed in compliance with the local Quality System. Performs duties in compliance with environmental, health and safety related site rules, policies or governmental regulations. All other duties as assigned. Travel requirement: 0% EDUCATION REQUIRED: High School Diploma or GED YEARS OF EXPERIENCE: 2+ years of legal experience SPECIALIZED KNOWLEDGE REQUIRED: Experience in a legal environment, preferably supporting an Intellectual Property practice engaged in litigation Experience in MS Office, including PPT and Excel PREFERRED QUALIFICATIONS: Bachelor's Degree Superior communication and interpersonal skills in dealing with all levels of management and legal department (attorneys, assistants, administration, and professional staff) and with external and internal stakeholders Ability to maintain composure in high demand situations Excellent organizational skills, attention to detail, and ability to prioritize and manage multiple tasks; must be responsive, reliable and a self-starter with minimal supervision. Project management and problem-solving skills Detail oriented with a high degree of accuracy, and able to maintain strict confidentiality. Proficiency with Microsoft Office 365, substantial word processing skills and advanced PowerPoint skills Ability to work accurately under pressure of deadlines with frequent interruptions Ability to work effectively as a member of a team and establish and maintain cooperative working relationships across team boundaries Ability to exercise flexibility, initiative, good judgment and discretion Ability to prioritize and manage multiple tasks independently, and to adapt to changing priorities Creative and resourceful Self-motivated and willing to work independently when necessary Ability to handle sensitive information with tact and confidentiality Experience using matter management systems and invoice systems, such as Passport, ReadSoft, SAP Ariba.
