Job Description
Intevity is looking for a Project Coordinator to support its Commercial and Operation teams.
The Project Coordinator is a key resource to the success of the Commercial Business Unit (Commercial BU) and Intevity Operations. As a Project Coordinator, you are responsible for supporting the leadership team on critical tasks related to internal operations and Intevity’s Fortune 1000 customers.
This person should possess strong project management experience, and be able to support the tactical, administration, and reporting needs of the BU. ResponsibilitiesWhile responsibilities will vary based on BU and operation team needs, we expect project coordinators to own and execute against this core set of responsibilities.
Support Engagement Managers by facilitating the definition of project scope for projects that are loosely defined (from an idea or charter to foundational requirements, to epics, and finally to actionable user stories that can be handed to a strategy or delivery team)
Support Operations with high-volume data-entry and handling of sensitive financial data
Produce weekly status and burn reports
Coordinate, schedule, and plan logistics for meetings and workshops including various stakeholders
Publish meeting agendas, take meeting minutes, track risks and issues, and communicate action items
Assist in the creation of presentations for leadership
Support of BU Leadership and Operation teams
Escalate risks and status to project leadership based on impact and priority
Plan and coordinate sprint retrospectives after projects, both external and internal including collecting and acting upon lessons learned to improve overall efficiency and team velocity
Document and organize Intevity templates, processes, and artifacts to improve findability and efficiency of internal team
Assist BU leadership with employee recruiting and hiring operational tasks, serving as a liaison between Commercial BU and Intevity Operations

While we don’t expect candidates to live up to all of these experience requirements, we are looking for candidates that feel their experience and aptitude aligns with most of these items.
Minimum of 2+ years experience serving in similar role
Experience in a professional services, consulting, and client/customer-facing environments
Proficiency with spreadsheets (i.e. excellent knowledge of formulas, functions)
Able to work effectively with a variety of personality types in a consultative environment and proven ability to build strong relationships
Excellent verbal and written communication skills
Excellent organizational skills and has demonstrated ability to prioritize and manage multiple initiatives simultaneously in a fast-paced, remote environment
Able to adapt quickly to changing customer priorities across multiple projects
Ability to iterate through requirements as they become available from the client, identify what is actionable and what requires more definition, and prioritize accordingly
Highly organized and able to manage a large number of tasks at once
Self-motivated and able to work independently, seeking support as needed
Ability to work in fast-paced environment
Experience with Slack, Office 365, Excel, PPT, Confluence, Jira, SmartRecruiters
Must be located in US Northeast (Boston -> DC corridor)
