Job Description

Tufts Clinical and Translational Science Institute (CTSI) connects people to research resources, consultation, and education, and fosters collaboration with scholars of all disciplines and with community members, with the ultimate goal of improving the health of the public.

The Project Manager works in partnership with several key stakeholders within Tufts CTSI to provide project management support related to stakeholder engagement and customer service, process improvement, events coordination, and managing project teams.

An increasingly important component of Tufts CTSI is engaging key stakeholder groups and community members in advising, consulting, and participating more actively in shaping the direction of the research we support. We seek an experienced Project Manager specializing in stakeholder and community engagement to support new and on-going activities for related to training, coordination, and support for faculty working toward including stakeholders in all aspects of clinical and translational research.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

Stakeholder and community-engagementactivities:

  • Oversees and coordinates the Tufts CTSI Stakeholder Expert Panel members, services, and activities. More information on the Stakeholder Expert Panel is here: https://www.tuftsctsi.org/research-services/stakeholder-community-engagement/stakeholder-expert-panel/
  • Creates opportunities andestablisheson-going dialogue tounderstand,prioritize,andpromotecommunityhealthresearch needs.

  • Serves asliaison between the community andresearchers at Tufts CTSI partnersto build research partnerships.

  • Helps develop shared projects with community partners and link to extramural funding sources.

  • Providessupport to academic-community research partnerships, including literature reviews, researching grant opportunities, and drafting letters of support.

  • Organizes and conducts awareness and bi-directional skill-building trainings in different modalities for researcher and the research team, community stakeholders, and potential study participants.

  • Assists withcommunity events and open housesto communicateresearchresults andtorecognize research participants.

Resource developmentand consultationactivities:

  • In collaboration with the Recruitment and Retention Support Unit,assists withbuilding, maintaining, and promoting the use ofa curated resource of best practices for engaging various populations in research, with a focus on effective recruitment and retention strategies.

  • Provides tailored guidance and mentoringto research teams.

Administrative activities:

  • Supports successful project/program includingdeveloping clear, actionable plans, coordinating completion of action items,summarizing project deliverables, setting deadlines,andtracking milestones.

  • Convenesand aidscommittees or working groups to develop and sustain new and existing initiatives, including providing excellent written and verbal communications such as reports, proposals, and presentations to keep all stakeholders informed.

  • Collects and analyzes datatotrack program/project progressand toinformcontinuous improvement,strategic decisions,and resource allocation.

  • Managesevents, meetings, and retreats including scheduling and logistical arrangements, serving as liaison to presenters/invitees, agenda preparation, materials distribution, minutes, follow-up, media, and audio-visual needs.

  • Maintains collaborative team relationships with peers and colleagues in order to effectively contribute to the working group’s achievement of goals, and to help foster a positive work environment. Specifically, this position works closely with the Integrating Underrepresented Populations in Research Project Manager to synergize and align program efforts, the Evaluation Director to develop program metrics, evaluation plans and document outcomes for internal and external reporting, and the Communications Manager to ensure online information about Integrating Underrepresented Populations in Research is current and timely.

Qualifications

Job Knowledge and Skills:

  • Ability to work with a wide range of constituencies in diverse communities.

  • Strong interpersonal and management skills to interact with healthcare leadershipincluding facultyand support staff.

  • Comfortable with ambiguity–works to resolve open questions, can define a process to resolve ambiguity, is comfortable that the plan may change.

  • Outstanding attention to detail, strong organizational skills, and the ability toanticipate programmatic needs.

  • Ability to lead and direct others by setting priorities for completing multiple tasks.

  • Excellent writing skills including the ability to draft and present program materials. Some background in proposal writing desired.

  • Concise and effective verbal and written communication skills–can talk easily to a variety of audiences.

  • Ability to effective handle multiple competing deadlines and shifting priorities.

  • Follows established best practices and exercises good judgment in uncertain situations.

  • Keen analytical skills; ability to identify, gather, manage, and synthesize relevant information to support data-driven decisions.

  • Demonstrated knowledge of applying quality improvement in relevant settings.

  • Must be discreet with a high degree of professionalism and capacity to adaptively manage relationships with a variety of individuals in differing roles.

  • Ability to work independently and as a part of a collaborative team.

  • High-energy, proactive, self-starter who will to do what is necessary to get the job done.

  • Proficient with the Microsoft Office Suite (Access, Excel, PowerPoint, and Word), Adobe Acrobat).

  • Ability to conduct web and literature searches.

  • Knowledge of and ability to implement project management techniques.

Education:

  • Bachelor's degree required.Master's degree inpublic health (MPH), or related fieldshelpful.

Experience:

  • Minimum of three years’ experience directly related to the duties specified is required, as well as:

  • Previous community organizing, education, and/or outreach experience required.

  • Experience in working with community organizations or groups.

  • Experience working with clinical investigators in a healthcare delivery setting.

  • Experience working in an academic setting a plus.

An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.

    Working Conditions and Physical Demands:

    • Consistent with a normal office work environment.Some duties may require off-site meetings within the local community.Some work on weekends and evenings is required.

    Organizational Relationships:

    • Reports directly to the Executive Director, Tufts CTSI.
