Function of the Position:The Collaboration Specialist provides support to business users with Microsoft 365 collaboration tools including SharePoint, Teams, Yammer, OneDrive and other applications. This includes user training and outreach, business requirements gathering and analysis, content management, SharePoint site design & creation, Teams creation, and user support and troubleshooting. The Collaboration Specialist focuses primarily on supporting users and business needs based in the UK and Europe, and also supports the technical and migration elements of a digital transformation of the business globally. Roles and Responsibilities:Collaboration Tool Development and Management- Expand the use of Microsoft 365 applications such as SharePoint, Teams and Yammer through user training and outreach.
- Support DAI’s transition from document management on shared network drives to SharePoint, including but not limited to conducting a needs assessment, planning, implementation, and training.
- Design and create SharePoint sites and Teams as required by the business and identify more areas for building business processes into Microsoft 365 tools.
- Work closely with the business users to establish and document their requirements, guide them on technical options, and help them implement solutions.
- Work with the corporate KM team and under their direction to ensure that solutions deployed are in line with digital direction, objectives and plans.
- Communicate with end users to ensure that expectations are met or exceeded.
- Take ownership of user problems and be proactive when dealing with user issues.
- Participate in the development of processes and actively identify areas of improvement.
- Support global or business unit specific digital collaboration projects and help manage changes for staff.
- Provide helpdesk support for tickets related to Microsoft 365 applications.
- Manage and respond to issues logged on DAI’s helpdesk support system in a timely manner, prioritising as appropriate.
- Serve as in-house point of contact for Microsoft 365 applications.
- Provide user training and ongoing support, including orientation and training for new staff.
- Develop user guides and training material.
- Provide orientation and training to business users on new tools, solutions or processes implemented using Microsoft 365 tools.
- Deliver specialised training to DAI staff on KM issues and aspects of Microsoft 365 usage specific to their functions.
- Create and maintain technical documentation, manuals, and IT documentation associated with Microsoft 365 applications and other collaboration projects.
- Conduct outreach to staff to raise awareness and usage of Microsoft 365 tools.
- Methodically investigate, analyze and document requirements.
- Design, develop and manage site content and capabilities and provide ongoing maintenance of the existing Microsoft 365 collaboration tools.
- Test and resolve any issues, ensuring systems operate in a reliable manner.
- Ensure appropriate documentation is created and maintained for all new system tools.
- Work with the Knowledge Management, DAS, and global OIMT to create plans for new tools’ deployment and implementation.
- Ensure systems change management is carried out in accordance with agreed standards and procedures.

- Grade 7: 4 years of professional work experience and a Bachelor’s degree or 2 years of professional work experience and a Master's degree.
- Grade 8: 5 years of professional work experience and a Bachelor’s degree or 3 years of professional work experience and a Master's degree.
- Grade 9: 7 years of professional work experience and a Bachelor’s degree or 5 years of professional work experience and a Master's degree.
- Proven Microsoft 365 experience, with a particular focus on file management in SharePoint Online and in OneDrive, and collaboration in Teams and/or Yammer.
- Demonstrated ability to train users and take a lead role developing the strategy for behavior change.
- Demonstrated experience in end user support for a wide range of Microsoft 365 tools, such as SharePoint, OneDrive, Teams, Yammer, Stream, Forms, Power BI, PowerApps, PowerAutomate, etc.
- Excellent English language skills (written and spoken).
- Customer service oriented.
- Ability to communicate effectively at all levels within the business.
- Team player with can-do attitude.
- Excellent problem-solving skills.
- Ability to multi-task and remain calm under pressure.
- File migration experience preferred using migration tools such as Sharegate or Metalogix.
