SummaryThis position is located in the Department of Homeland Security, US Coast Guard, Fiscal Department in Baltimore, MD.ResponsibilitiesYou will function as secretary and principal office assistant in the Chief, Financial Operations Department and the Chief, Facilities Engineering Department.Being a civilian working for the Coast Guard makes you a valuable team member. Typical duties include:Reviewing incoming mail for distribution reviewing mail for subject matter, distributing to appropriate individual, department or unit command.

Controlling suspense items by maintaining record of receipt, assignment to individual and tickler file for follow ups.

Preparing commercial express delivery carrier documents as required and ensures timely package pickup.

Managing the office copier, printers and other office equipment.

Ensuring supplies for all are maintained, and provides technical support to other users when necessary.

Receiving visitors and callers to the office.

Taking requests for appointments, checks on availability of supervisor and/or staff.

Receiving facilities maintenance service calls from Yard campus personnel and routes to the contract service provider.

Producing travel orders, making transportation and lodging arrangements and making reservations for supervisor and/or immediate office staff when needed.

Establishing and maintaining filing system for internal office use, completing administrative forms for personnel, budget, contracting and similar issues from previously submitted papers.

Maintaining detailed payroll records for various financial appropriations and prepares reports, analyzing time and attendance data.

Serving as alternate collection clerk for the Yard.

Accepting checks and money orders, ensuring that they are properly logged in and stored in a secure location.

Serving as Time and Attendance System timekeeper for Fiscal and Facilities personnel.

Receiving requests from Yard supervisors to establish new NESSS (Naval & Electronics Supply Support System) Users and/or new permissions to already existing NESSS users.
