Responsibilities
Maintains workflow by preparing quotations; implementing cost reductions and using proper reporting procedures.
Maintains systems and procedures by analyzing projects, recordkeeping systems, forms control, office layout, and budgetary requirements; implementing changes.
Shares info with rest of administrative staff by providing information, educational opportunities.
Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
Provides information to customers and staff by answering questions and requests.
Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
Maintains professional and technical knowledge by attending educational workshops as required, reviewing professional publications; establishing personal networks, as required.
Contributes to team effort by accomplishing related results as needed.
Provides fast and accurate research of products utilizing The Product Management System and other resources available.
Assists in reconciliation of shipping reports to assure correct items are being shipping a daily/weekly basis.
Assists Account Representative with all communications to customer including:
a. Customer Purchase Order receipt confirmations
b. shipping notifications to customer and freight forwarder
c. Purchase Order corrections as needed.
d. notifications on all backorders or delays
e. any delay in providing a quotation, for any reason
Accurately calculates shipping costs and project profit margins to assure proper expense ratios and pricing.
Properly maintains digital and hard copy paperwork files according to company standard.
Assists account representative in formulating presentations for new clients in territory to expand business.
Tracks all orders with vendors to assure timely receipt of products.
Corrects all pricing issues with vendors between what was quoted and issued on vendor invoices.
Works closely with account representative to achieve 25% increase in sales over same period in previous year.
Assists rep with producing accurate and realistic budgets for the territory.
All other duties as assigned.
Education
Associate's Degree with equivalent business experience
