Description of Position:

Our business manager will be responsible for overseeing day-to-day workings of the company, including operations, communications, basic accounting through quickbooks, and providing exemplary customer service. You will need excellent communication and organizational skills, flexibility, and a great positive attitude.

Responsibilities/Skills Required:

Operations Management-

-Create and maintain production schedules.

-Track incoming and outgoing shipments

-Track inventory of raw material and parts, and track the flow of parts through the stages of manufacturing.

-Be able to manage upward- have awareness of all deadlines and goals and help execute.

-Plan and order raw materials as needed to meet production goals.

Communications-

-Answer phone calls daily, return emails, track all correspondence.

-Vendor Management: Organize and schedule Purchase Orders to correspond with all components necessary for a production run. Maintain relationships with multiple vendors to facilitate timely delivery and minimize lag.

-Customers: Maintain database of correspondence for Pistol customers. Follow up on inquiries. Maintain awareness of all orders, both Volusion and phone/email. Answer email inquiries promptly.

-Product Resellers: (ie: Online Retailers) Receive and process Purchase Orders. Provide marketing assistance to resellers in the way of copy, graphics, data. Estimate and confirm estimated ship dates with resellers. Monitor reseller/retailer stock of product and price. Seek out new retailers, develop relationships with them, fulfill orders.

-Media: Ship samples and track same. Track and maintain communications with key media professionals and manage relationships.

Accounting/Quickbooks:

-Experience with or willingness to learn basic Quickbooks functions.

-Enter sales orders, purchase orders, and invoices accurately, promptly, and efficiently.

-Create invoices and purchase orders for customers, including product resellers. Follow through.

-Maintain Open Items Report, ready for review at all times.

-Keep track of unpaid invoices and follow through accordingly.

-Update/Create product information.

Customer Service-

-Provide stellar customer service to all customers.

-Treat each communication as if it were a sale and each customer as if they are a million bucks- we can’t understate how much we value our customers.

-Answer all inquiries, find answers if not immediately known.

-Monitor email and phone and respond in a timely fashion.

-This will require a certain amount of “charm” and ability to connect with people.

Computer Skills-

-Volusion: Our webcart software. Maintain website regularly, updating product inventory, processing orders, updating product listings, etc.

-Quickbooks: Mentioned above.

-Google Suite: proficient with Google Docs, Sheets, Slides, etc. Responsible for monitoring email.

-Trustwave/Security: Manage all website and on-site security for Trustwave. Respond appropriately to surveys.

Personal Skill Requirements:

-Exceptional written and spoken communication skills

-Desire to provide the highest quality of customer service

-Super organizational skills, and adaptability. Follow through and management of many tasks is essential. Experience managing others a plus.

-Great positive attitude, honesty, strong work ethic, and problem solving abilities

-Growth Mindset, patience, and flexibility

-College Degree in Business, Communications, Marketing or a related field (preferred but not required)

The work environment is collaborative, innovative and fast moving. It is a start-up/ground-floor type environment. The team is very small, but very crazy about quality, innovation and servicing our clients.

This team member would ideally be willing to learn about precision, high-performance firearms- their design, function, manufacturing, marketplace, and real-world application.

Hours:

Currently approximately 16-20 hours a week, with the possibility for growth with business growth. Our strongly preferred schedule is approximately 4 hours a day, 4+ days a week, in the morning till midday.
