Proposal Writer / Administrative Assistant

Responsibilities

Receive calls from prospective clients, develop scope of work and proposal

Develop update and implement proposal templates

Develop marketing, and business promotion

Organize proposals sent and track success rate

Coordinate proposal formatting, writing, editing, fee determination and proof-reading efforts

Setup new project folders and files (physical files and digital directories)

For public clients, monitor websites for RFPs, RFQs, LOIs, etc.

For public projects, review RFPs and discuss with Project Managers

For agency proposals, utilize graphic and organizational software to create key graphics if required by prime consultant (e.g., Photoshop, Illustrator, PowerPoint)

Assist CEO and CFO with administrative duties

Qualifications

Bachelor’s degree in related field preferred

Minimum three years of experience coordinating and writing technical proposals for an engineering, architecture, construction or professional services organization

Strong written and oral communication skills

Strong organizational skills

Proficient in Word, Excel, Outlook, PowerPoint, Photoshop

Problem solving, planning and time management skills

Understanding of marketing techniques

Understanding of technical terminology

Ability to manage multiple projects simultaneously and deal with changing priorities
