Are you interested in working for a growing company in an IT environment? The Executive/Administrative Assistant will provide administrative support on a daily basis. Will also be proactive and utilize excellent analytical and problem solving, project management, and customer service skills with strong ethics and judgment.
Primary Functions
Manage the executive's calendar, schedule appointments, and prioritize matters.
Coordinates and arranges meetings, prepares agendas, and records and transcribes minutes of meetings.
Prepares written correspondence as necessary, including letters, spreadsheets, charts, and database extractions.
Composes other written correspondence with the highest degree of professional attention to detail and accuracy.
Maintains records including sensitive and confidential information.
Maintain comprehensive and accurate records to include updating and maintaining property records, ensuring timeliness and accuracy.
Prepares and maintains projects, administration, and miscellaneous files that are needed.
Assists with research and compiling statistical reports.
Prepares special and recurring reports as necessary.
Perform minor accounting duties.
Answer and direct telephone calls politely and professionally.
Welcome visitors and identify the purpose of their visit.
Coordinates travel schedules and reservations with the appropriate staff (if applicable).
Interfaces with clients and employees. Liaison with all departments.
Special projects as assigned.
Qualifications and Skills
Must have at least 3 - 5 years experience as an assistant to a senior manager.
Strong organizational and project management skills.
Proficiency with Microsoft Office products.
Thorough working knowledge of data management and scheduling applications.
Strong attention to detail and ability to follow through with a high-level of accuracy.
Ability to independently prepare exceptional quality reports and correspondence.
Experience exercising judgment and discretion with sensitive, confidential, and proprietary information.
Strong verbal and written communication skills.
Flexible, results and action-oriented, and ability to adapt to changing priorities.
Strong people skills.
Positive attitude and professional and pleasant demeanor.
Be a team player and work well independently.
This is a full-time, temp to hire position.
