POSITION: Administrative Assistant

SUPERVISOR: Program coordinator

STATUS: Non-Exempt / Hourly

HOURS: 30 – 32 Hrs. per week.

SALARY: $16.50 -$19.50 Per Hour (based on experience)

A. BASIC PURPOSE

The purpose of this position is to provide administrative and clerical support to the program

B. ESSENTIAL DUTIES AND RESPONSIBILITIES

1) Provide assistance by answering and returning phone calls as needed, creating correspondence, and responding to questions in a professional manner or refer to appropriate staff.

2) Produce and process all correspondence and clerical duties screen incoming calls; handle calls of a routine nature; communicate as needed with the staff; schedule and coordinate meeting arrangements and coordinate calendars when needed.

3) Maintain school events Calendar.

4) Prepare reports weekly for Program Coordinator

5) Schedule meetings

6) Assists other members of the program as directed by supervisor.

7) Prioritize assignments and recommend new office procedures as appropriate.

8) Maintain and order office supplies.

9) Perform other related duties as assigned.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS

1) High School Diploma or G.E.D.

2) Minimum two (2) years Secretary/Administrative Assistant experience. AA preferred.

3) Ability to work independently and with minimum of supervision.

4) Ability to speak and write the English language at a high and professional level is required.

5) Must be able to draft and edit professional level communications.

6) Must be proficient in computer programs such as Microsoft Office (including Word, Excel, PowerPoint, and Publisher) and Outlook/Google electronic mail.

7) Must have skills in transcription, and typing.

8) Must have good organizational skills including multitasking, time management, and office systems (including maintaining files).

9) Strong ability to utilize a high level of time management and handling multiple tasks.

10) High degree of confidentiality

11) Excellent and professional telephone etiquette and presence

12) Excellent attention to detail and ability to track and present very accurate information.

13) Valid CA Driver's license.

CERTIFICATES, LICENSES, REGISTRATIONS

Must possess a valid California Class C driver's license

Ability to drive a company vehicle (list may not be exhaustive)

1. Must be at least 21 years of age

2. Must pass pre-employment background check

3. Less than 2 points on driving record

4. No recent accidents

D. PHYSICAL REQUIREMENTS:

Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis

Ability to grasp, push, and/or pull objects

Ability to reach overhead

Ability to operate telephone

Ability to lift up to 25 lbs.

Ability to operate a computer

Ability to process written, visual, and/or verbal information

Ability to operate basic office equipment and tools PC, Fax Machine, Telephone, Calculator, Copier, Printer

Miscellaneous office equipment including but not limited to staplers, three-hole punch, etc.

Some travel required.
