Small friendly law firm in Tustin looking for enthusiastic team player with strong

bookkeeping, organizational, and communication skills to provide bookkeeping and

administrative support and insure efficient operation of office. HR Experience a big

plus. Busy work environment keeps job interesting.

Duties

· Process accounts payable and receivables

· Process payments, deposits, and post into the system

· Reconcile checking, savings, customer and client billing accounts

· Set up and maintain financial, personnel and payables records

· When appropriate, work under the direction of third party accountant

· Process payroll timesheets and make sure that all staff are correctly entering

timesheets and that the reports are compliant with California Labor Code. Keep

records of employees' time off.

· Maintain confidentiality regarding firm's and owner's financial and personnel

information

· Assist in preparation of support work for estimated and annual tax payments

· Prepare monthly, quarterly and annual financial statements for review by CPA and owner.

· Maintain filing system for efficient operation of business

· Track expenditures

· Some human resources duties, including maintaining current statutory postings

· Answer phones occasionally

· Proficient in QuickBooks, MS Word, stamps.com, adobe acrobat, knowledge of Sage TimeSlips and/or Tritek a big plus

· Excellent organizational skills and attention to detail a must

· Polite, ethical self-starter

· Maintain smooth office/administrative functions, including securing and monitoring office supplies inventories,

· Ensures outside contracts and accounts current.

· Interfaces and collaborates with contracted IT support personnel.

· Collaborates with appropriate staff to ensure the implementation of all policies and procedures for new hire and terminating employees, including securing relevant background checks, creating hard-copy and digital employee records, and ensuring all employee records are held in a secure, confidential location.

Job Requirements

· High school diploma or equivalent

· 3 years bookkeeping experience including QuickBooks Pro

· 20 hours a week in office

· Schedule initially negotiable but then remains constant

Provide valid drivers' license and proof of auto insurance, send email with resume and references
