Position Summary:

The University of Alaska Southeast invites applications for the administrative assistant position in Student Government. We are seeking applicants who would thrive in a student-centered, high energy, positive work environment. The ideal applicant will possess strong interpersonal communication, customer service, and general office skills. The successful candidate would be supporting: student clubs and organizations; student government; student events and activities; and co-curricular student leadership programming. As part of the broader Campus Life team, the successful applicant will work in a highly collaborative and supportive environment with a focus on professional development.

Duties:

Student Activities & Engagement Under the supervision of the Campus Life Budget Manager and in collaboration with the Campus Life team, contribute to the overall success of the Student Engagement & Leadership and Campus Life missions in support of Student Government at UAS. Attend monthly division meetings for the administrative staff, take meeting minutes and follow up as necessary. Attend campus meetings as delegated by the Campus Life Budget Manager.

Staff and Program Development Assist with updating website content. Monitor social media presence and student contributions. Responsible for training all Student Government student employees/elected officials on UA System policies and UAS policies. Schedule and develop on-boarding for student staff.

Student Government Administrative Support Serve as the Administrative Assistant for Student Government. Oversee budgets and finances for Student Government and Student Organizations approved by Student Government. Provide ongoing fiscal and administrative training, guidance, and support to members of Student Government and various active committees. Maintain financial records, verify reports, produce weekly reports of profit/loss, track income, expenses, and budget transactions for Student Government, Student clubs and Whalesong. Provide training to Student Government officers in financial planning, budgeting and strategic vision. Assist Student Government officers to understand the impact of the budget and responsible options for spending. Provide resources on best practices and ethics along with stewardship of significant campus resources. Support student Government programming. Assist with the preparation of entertainment contracts, publicity distribution, collection and deposit of moneys, venue requests, update event tracker checklist. Attend weekly Student Government meetings. Assist with the election process. Provide ongoing training to the Student Government in Robert’s Rules of Order. Maintain up-to-date drafts of all Student Government guiding documents. Assist with processing various purchase documentation, contractual agreements, personnel documents, time sheets, requests for information, filing, deposits, ordering office supplies, picking up supplies off campus, providing receipts and compiling necessary documentation, and daily correspondence with other departments. Ensure excellent internal and external Customer Service. Maintain a professional, clean, and orderly working environment-creating the very best first impression. Appropriately and effectively delegate the ongoing cleaning, organization, and upkeep of the Student Government Office to student employees. Provide timely communication (e-mail, phone, social media, face-to-face, and meetings). Respond to inquiries/questions from both internal and external customers in a timely, efficient, and professional manner. Maintain the highest standard of follow-through. Establish an effective organizational system for tracking meeting notes, meeting dates and times, and action items.

We are seeking a candidate with strong interpersonal communication, customer service, collaboration, self-motivation, and general office skills. Knowledge of collegiate student involvement (student government, clubs, events, activities, leadership). An understanding of responsible fiscal practices and general bookkeeping. The ability to accurately record meeting minutes and data. Someone who is proficiency in Microsoft Office and Adobe software programs and general office technology; in addition have the ability to prioritize workloads and stay organized in a dynamic work environment. Candidates should have the ability to develop and present training materials/reports in a professional manner and the ability to motivate and direct student employees/volunteers.

Preference will go to candidates with familiarity with UA fiscal and purchasing policy/regulations and Banner software. Experience with graphic and web development/design & participation in or experience with student government and/or student activities, clubs, and organizations.

Candidates must have High School graduation & two years office/administrative experience, or an equivalent combination of training and experience. Bachelor's Degree preferred.
