Summary
Elgee Rehfeld, LLC, is seeking an Administrative Assistant to join our team. Elgee Rehfeld, a Southeast Alaska based full service certified public accounting firm, with 30+ years of experience, provides industry-focused assurance, tax, and advisory services for private, non-profit and government clients.
Position Description
The Administrative Assistant is responsible for general office tasks including greeting clients, scheduling, maintenance of client data, client files, and preparation of materials. This individual will communicate proactively to ensure deadlines and the needs of clients are met, provides administrative support to partners and staff and positively contributes to the office culture and client experience. This position is an excellent fit for a customer service orientated professional seeking an opportunity within a growing firm.
Specific Responsibilities
Reception desk duties, greeting clients and visitors
Client scheduling and follow up
Screen incoming phone calls and route calls to the appropriate party
Administrative support for partners; including calendar management, scheduling, and timekeeping
Administrative support for other team members as needed
Preparation of reports and other materials to prepare for client meetings and other business activities
Organize and maintain client files
Provide exceptional customer service
Maintain confidentiality with personal and sensitive data
Receive checks and prepare bank deposits as assigned by Front Office Manager.
Pick-ups and deliveries to banks, airport, courier services, and other locations as needed.
Maintain office equipment.
Keep the conference rooms, reception, and admin areas neat and organized.
Routinely inventory & order office supplies
Qualifications and Competencies
Two years of administrative, customer service, or hospitality experience
Detail orientated
Ability to multitask, prioritize, and organize efficiently
Excellent verbal and written communication skills
Knowledge of general office procedures including filing, multi-line telephone, and office equipment (including copier/scanner, computer, printer, fax machine)
Requires physical ability to sit and type for long periods of time and lift 30 lbs.
Must possess a valid Alaska driver’s license and reliable transportation
Preferred Qualifications
Familiarity with a professional services firm
