You will provide support to the Vice President for calendaring, travel, expenses, correspondence, and approvals, along with management and oversight of special projects. As you become familiar with the priorities, people, and organizational dynamics of Cisco’s Customer Experience Global Enterprise Theater, you will provide assistance to others as needed.Responsibilities include:
Calendar Management: Manages VP's calendar by prioritizing schedules and meetings. For example, may decide who gets on principal's calendar, what meetings are attended, and alternate attendees or coverage based on business priorities. Meets regularly with business partners such as HR, operations, communications and finance to actively manage business requirements, necessary meeting preparation and stay ahead of deadlines.
Speaking Engagement Coordination: Manage a running list of VP’s engagements and coordinates with communications team to ensure content needs are understood and set in motion so VP is prepared for each engagement.
Meeting Planning and Organization: Assists VP in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting topics based upon participant needs, and all other meeting logistics. Prepares meeting briefing documents by taking and disseminating notes and formulating post meeting action item list. For meetings including travel to Cisco sites, actively coordinates relevant skip-level meetings and team events.
Travel Briefing Preparation: Build travel packs for domestic and international trips as well as large events. This work includes combining all event information in addition to coordinated logistics of travel and customer/team asks.
Correspondence/Approvals: Supports VP by acting as proxy for communications and approvals as authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties and follows up to ensure accurate disposition. Takes initiative to resolve issues within specified policies and guidelines and provides mentoring to administrative community members on problem solving. Decides when executive action is required and supplies a recommendation where appropriate.
Travel: Responsible for making end to end travel arrangements for VP. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while handling Cisco expenses. Works diligently to focus and commit, working with the airlines direct to accommodate Global Services benefits for upgrades whenever they are available. Monitors VP travel and proactively seeks alternative solutions where travel delays occur including managing meeting calendar in relation to changes.
Special Projects: Provides analytical support to assist executive on special projects. Researches issues, analyzes problems, compiles data, and prepares reports. Track and report on mandatory trainings, events/attendance. Document and prepare regular updates on meetings, deliverables, and critical business metrics. Lead admin community within the business.
Large Corporate Events: Prepare and brief itinerary as may accompany VP for large Corporate Events where EA's are used for executive support.
Confidentiality: You will deal professionally with sensitive and confidential matters and materials. You will exercise good judgment and discretion, maintain a high level of integrity and remain calm under pressure and you will deal authoritatively with sensitive and confidential matters and materials.
In addition to the general administrative duties of an Executive Assistant, daily tasks are carried out at a higher level of complexity. Due to the frequent engagement of the VP and Sr. Directors across Cisco, this individual will interface with and coordinate activities with other EAs and executives across Cisco.

Our minimum requirements for this role:
Associates Degree preferred
You have 8+ years of experience in administrative environment and you a minimum of 4 years of experience supporting a principal at the executive level.
You will have experience in planning meetings and coordinating travel and you are advanced in desktop calendar management programs.
You have advanced level knowledge of Windows desktop computer applications: Outlook, Word, Excel, PowerPoint, Sharepoint, Smartsheet
You have confirmed performance in a customer-facing, service oriented role you have a track record of excellent performance.
